How to create a new candidate


Manage your entire hiring pipeline effortlessly in the Candidates module. Track every stage of your recruitment process - from applications and job ad sources to interview results. You can give ratings, update statuses, record start dates and job openings, leave comments and use multiple filters to access specific information. The Candidates module is a dynamic grid of information which means you can view the latest changes, that are also reflected in graphs on the Candidates dashboard. Easy and smart navigation between the module functionalities and candidates will make your HR processes more effective. Furthermore, you can create an email thread with external participants relating to a candidate directly from the candidate’s detail page. This is extremely useful as you no longer need to switch between applications and search for relevant correspondence.

To create a new candidate, hover your mouse over the Personnel icon in the main sidebar menu to view a sub-menu of modules. Click Candidates to open the Candidates list. Click the Create New button in the top right corner.

A modal New Candidate window will open.

Fill out the Basic Info fields:

  • Full Name (required) – Enter the full name of the candidate.
  • Email (required) – Enter the email address of the candidate.
  • Contact Details (required) – Enter the telephone number in international format.
  • Description (required) – Provide a brief overview of the candidate. This information will be visible on the main Candidates dashboard. 
  • Comment (optional) – This field is a flexible space for internal notes to help your team track relevant details about the candidate. 
  • Status (required) – Choose a status from the dropdown menu (Just Arrived, Considering, Round One, Final Round and Closed)
  • Closure Status – Choose the status from the dropdown (Not Suitable, Accepted by Candidate, Rejected by Candidate, Hired and Postponed).
  • Job Opening – Choose an applicable position from the dropdown. This will be a list of your company job openings.
  • Office – Choose an applicable office from the dropdown.
  • Department – Enter the name of the department where the position will be filled. 
  • Can Start – The date the Candidate can start working. Choose one of the options from the dropdown. (ASAP to One Week, In Two Weeks, In Month, In 3 Months, and later.).
  • Source (required) - Apply one of the dropdown options of Cold Contact, Job Ad, Other, Referral, or Social Networks. 
  • Employment from – Enter the candidate’s employment start date. 
  • Click the ... Plus icon to view a menu of mainstream social networks. Add any known links to the candidate’s profiles on these networks here.
  • Rating – You can rate a candidate by clicking one to five stars.
  • CV – Drop or upload a file here. 

Save the information. Your new candidate will now appear in the list on the Candidates dashboard.

Note! Users can view the candidate’s information only with the relevant permissions/access rights given by the administrator.
