How to share custom forms


The Shared With tab allows you to view and manage who has access to a specific custom form, including shared spaces, participants, and any public links that have been created. From this section, you can edit sharing options, revoke access, and monitor link activity to maintain full control over form visibility and security.

Open the Custom Forms module and select a form from the list. Once the form is open, click the Shared With tab in the navigation header.

Within this section, you can see all Shared Spaces and Participants who have access to the form. 

At the end of each item row, the (action) button allows you to revoke access to a shared space or participant if needed.

If Public Links have been created for the form, they are displayed in this view along with the following details:

  • Expiration Date – The date on which the link will no longer be accessible.
  • Status – Indicates whether the link is active or inactive.
  • Password Protection – Shows if the link requires a password for access.
  • Created By – The user who generated the public link.
  • Last Activity – Displays when the link was last used or accessed.

Each Public Link row includes an action menu () at the end that provides several management options.

  • Edit – Opens the link’s settings, allowing you to update details such as expiration date, password protection, or access permissions.
  • Deactivate – Temporarily disables the link, preventing further access without permanently deleting it. You can reactivate it later if needed.
  • Delete – Permanently removes the public link from the form. Once deleted, the link cannot be used again.
  • Copy Link – Copies the public link URL to your clipboard so it can be shared externally or embedded elsewhere.
  • Copy Password – Copies the password associated with the public link (if applicable) to your clipboard for quick sharing or reference.  


How to share a custom form

The Share feature allows you to provide access to a custom form through invitations, public links, or internal sharing options. You can control who can view the form, set expiration dates, and add password protection to ensure secure access.

Open the Custom Forms module and select a form from the list. Once opened, click the Shared With tab in the navigation header. 

In the top-right corner of the screen, click Share.

A modal window will appear with multiple sharing options.


Invitation Only

Select Invitation Only to share the form directly with specific individuals. Enter one or more email addresses of the people you wish to invite. You can turn the visibility button on or off to enable or disable access for the invitation. When visibility is enabled, a date picker becomes available, allowing you to set an expiration date for the invitation. After filling in the required details, press Next to continue.


Public Link

Select Public Link if you want to generate a shareable link for external access. In the first input field, enter the internal name of the link. This field is mandatory. Choose a link expiration date using the date picker. If no expiration date is set, you will need to manually deactivate or delete the link later. You can also protect the link with a password if you prefer. When all details are complete, click Generate. The public link is now created and ready to share. 


Share Internally

Select Share Internally to share the form within your organization. In the first input field, select the entity you wish to share with. In the Share With field, search manually or type the name of the company whose personnel should have access. As you type, the associated contacts appear in the middle field. You can choose to share the form with all contacts or select specific individuals. The third field displays the selected accounts for confirmation. When finished, press Next to complete the sharing process.
