What are option sets
The Option Sets section allows administrators to create, modify, reorder, or remove values across various option set categories used within Vault Synapse. These values help define selectable lists within forms or modules—such as project statuses, agreement types, or skill levels—depending on your organization’s configuration and subscription plan.
Where to view option sets
To view option sets, click the Avatar icon in the top right corner and select Organization from the drop-down list.
The Organization dashboard will open. Click the Configuration tab in the header.
A list of configuration components will appear. Click Option Sets.
You can view a list of all configured option sets. The top one in the list will open by default.
Each option set value is displayed in a grid format with the following columns:
- Short Name – Abbreviated or alternate label.
- Name – Full name of the option.
- Is Active – Indicates whether the option is active or deactivated.
- Usage – Shows how many times the value is currently in use across the system.
Column numbers and titles can vary across option sets options.
At the end of each row, the action menu (⋮) provides options to edit, deactivate, or delete the item. Have in mind that not all option sets allow you to delete them.
Note: If your organization manages multiple companies within Vault Synapse, some option sets may apply globally. Use the company selector above the grid to switch between organizations and ensure you're editing the correct set.
How to add a new option set value
To create a new option set value:
1. Navigate to the relevant entity where the option set applies.
2. Click the Add New button in the top-right corner.
3. A modal window will appear. Fill out the following fields:
- Name (required) – Full name of the new option
- Color (optional) – Select a color from the palette
- Icon (required) – Choose an icon from the icon library dropdown to represent the option
- Short Name (required) – A shorter label or abbreviation
4. Click Save to add the new value.
How to edit an option set value
To edit an existing option set value:
- Locate the item in the list.
- Click the action icon (⋮) at the end of its row and select Edit.
- Make your changes in the modal window and click Save.
How to reorder an option set value
Click the … icon at the start of the row you want to reorder, then drag and drop the item into the desired position in the grid. When finished, click the … save icon at the top next to the Short Name column.
How to deactivate an option set value
To temporarily disable an option set value:
- Click the action icon (⋮) next to the item you wish to deactivate.
- Select Deactivate.
- Click OK in the pop-up dialog to confirm the action.
The option will remain in the system but will no longer be available for new selections.
How to delete an option set value
To delete an option set value:
- Click the action icon (⋮) and select Delete.
- A warning message will appear. Click OK to confirm.
Note that this option is only available for an option set value with zero usage.
If an option set value has 1+ usage before deletion, you must reassign any existing items using that value to another available option.
Use the Move To dropdown to select the replacement option, then choose:
- Move – To reassign and retain the current value.
- Move & Delete – To reassign and remove the value permanently.
