What are custom form entries

Custom Form Entries are individual records submitted through a custom form. Each entry represents one completed submission from a user and contains all the information provided in that form. These entries allow you to review, manage, and export collected data directly from the Custom Forms module. 

To view form entries, open the Custom Forms module and select a form from the list. Once opened, click the Entries tab in the navigation header. 

This will open the Form Details page, where all submissions (entries) related to the selected form are displayed.

Clicking on an Entry Reference Number (Entry Ref. No) in the Form Detail view will open the full record of that entry. From this view, you can review the submission details or delete the entry if necessary.

In the entry list, you can change and save the width of the columns in the grid itself. Click the save button to save the changes.

The columns in the grid are optional and are based on your configuration. Click the link to find out how to customize the view.    

You can see this information from the entry view: 

  • Company – The company associated with the submission.
  • Entry Ref. No – The unique reference number assigned to each entry.
  • Name – The name of the person who submitted the form.
  • Submitted On – The date and time when the entry was submitted.
  • Custom Fields – These fields vary depending on the custom form being used.

How to view a custom form entry

Open a form of your choice and click the Entries tab in the header. 

A list of all form entries will appear. To view a specific entry, click the eye (👁) icon at the end of the row for that entry.

A new window will open, divided into two panes, displaying entry details and related actions. In the top right corner of the pane on the left you can see the avatar of the entry’s owner and the ... action button that allows you to delete the entry. The items in the section on the left can be protected with a lock. The black lock icon means the item is locked for viewing; the blue lock icon means that you can view the item. The owner of the entry can lock and unlock an item by clicking on the lock icon.

The pane on the right displays any comments. You can add a new comment by ticking the Show All button. 

If you click on an item in the section on the left, the items details will be displayed in the pane on the right, allowing for actions.

For example, you can send a telephone number to your device to make a call or click on a web link to access a website.
